How to use an exhibitor list before, during and after the show

Four to six weeks before
Match the list against your CRM by domain first. Suppress current customers, open opportunities and anyone on a do-not-contact list — this alone usually removes a meaningful slice and prevents your reps embarrassing themselves. Score what is left by sector and size, then pick a shortlist you could realistically meet. Reach out to book meetings while diaries are still open; two weeks out, everyone at NACUBO is fully booked.

What to check before you buy an exhibitor list from anyone
Including from us. This category has a real trust problem, and a few questions filter out most of it.
Plenty of vendors sell trade show data. Some of it is good. A lot of it is a recycled scrape, several years stale, resold under a dozen brand names. There is no way to tell from a website which you are looking at — so ask. A legitimate vendor will answer all of these in writing without hesitating. Anyone who dodges, deflects, or answers with urgency instead of detail is telling you what you need to know.
Ask for a sample of this show, not a generic one
The single most useful test. Many vendors will send a polished sample from a different, better-covered event. Ask specifically for rows from NACUBO 2026, with fields populated exactly as the full file would be, and check the empty cells. Field coverage is where lists quietly fall apart.
Ask which edition the data covers and when it was last updated

A vendor who claims otherwise is either not measuring or hoping you will not. Ask instead what happens when records are wrong — see the replacement policy point below.
Check for implied endorsement by the organiser
Look for "official", organiser logos, or wording that suggests a partnership. Unless a vendor is the organiser's appointed data partner and can name the agreement, that framing is misleading — and it is the kind of claim that gets a supplier and its customers a legal letter. Get the replacement or credit policy in writing
Ask what happens if a meaningful share of records turn out to be invalid. A serious vendor will have a stated remedy — replacement records or credit — and a window in which to claim it. "No refunds, all sales final" on a data file you have not seen in full is a bad trade.
Read the licence before you read the price
How many users can use it? Can you load it into your CRM permanently, or is it a one-campaign licence? Can it be shared with an agency? Can you resell it? Unclear licensing is how buyers end up in a dispute over a file they thought they owned.
Ask how the file is deduplicated
Ask for unique companies and unique domains, not just row count. Files padded with duplicate entities, multiple offices of the same firm, or repeated records across editions inflate the number you are paying against.
Be sceptical of pressure
Countdown timers, "today only" discounts and prices that drop the moment you hesitate are sales theatre. Real data pricing does not need urgency. Take the sample, run your checks, and buy when you are satisfied.
Confirm your own compliance position
Buying data and using data are two different obligations. Under GDPR, UK GDPR, CAN-SPAM, CASL and equivalents, you are responsible for the lawful basis of your outreach, your identification and opt-out, and honouring suppression requests. A vendor cannot transfer that to you or take it off you. Any vendor claiming their file makes you automatically compliant is wrong.
